How to Organise Microsoft Copilot Chats and Find Useful Answers Faster
Why You Should Organise Microsoft Copilot Chats
Learning how to organise Microsoft Copilot chats can help you find useful information faster, improve prompting and keep projects organised.
Microsoft Copilot can quickly become part of your everyday working routine. You might use Copilot to draft content, research a topic, review a document, analyse a meeting transcript, solve an Excel problem or prepare for a workshop.
Once you begin using Microsoft Copilot regularly, however, your chat history can fill up quickly. That brilliant answer, reusable prompt or useful piece of research can become difficult to find again.
The good news is that a few simple habits can make your Microsoft Copilot chats much easier to manage. You can keep conversations focused, reduce clutter and make valuable work easier to retrieve.
Start a New Copilot Chat for Each Topic
Avoid putting unrelated requests into one enormous conversation.
Start a new chat whenever you move to a different subject, project, document or activity. This keeps the context focused and makes the conversation easier to locate later.
New subject, new Copilot chat.
Starting a fresh chat also gives you an opportunity to provide the right background, source material and instructions for that particular task.
Use Temporary Chat for Quick Questions
Not every question needs to become part of your Copilot chat history.
If you have a quick or one-off question you don't need to revisit, consider using a temporary chat.
A temporary conversation does not appear in your normal chat history and cannot be accessed later through that history. Your organisation’s data retention policies may still apply.
Do not use a temporary chat for work that you may need to continue, reference or share later.

Rename Your Useful Copilot Chats
A meaningful chat name makes an important conversation much easier to find.
Rename useful chats with a short, specific title, such as:
Copilot workshop agenda
September board report
Where appropriate, include the project, client, document or activity name. Use words you are likely to remember when searching later.

Pin Important Copilot Chats
If you return to a conversation regularly, pin it.
Pinned chats are useful for current projects, recurring reports, research activities and work that you are continuing over time.
Review your pinned conversations occasionally and remove anything that is no longer active. This keeps the pinned area useful rather than turning it into another long list.
Finish Important Chats with a Summary
At the end of a valuable Copilot conversation, ask for a concise summary.
Copy and paste this prompt:
Summarise this conversation in plain English. Include the key points, decisions made, outstanding questions, actions, owners and next steps.
A summary gives you a clean record that you can use to restart the work, share the outcome or transfer actions into a project plan.
Always review important names, dates, decisions and actions before sharing or relying on Copilot-generated content.
Ask Copilot to Improve Your Prompt
Sometimes it takes several attempts to reach the answer you need.
Once you have a strong result, ask Copilot to turn the conversation into a better reusable prompt.
Copy and paste this prompt:
Review my original request and the changes I asked for during this conversation. Write the prompt I could have used at the beginning to reach this result more quickly. Include placeholders for any information that will change next time.
This helps you develop practical prompts based on your real work rather than collecting generic prompts that may not suit your needs.
